25. Apologies were received from Cllr Keith Petty.

26. No declarations of interest were made.
Chairman’s Report
27. The Chairman apologised for calling this extra meeting.
28. The Youth Development Group arranged a visit to a youth centre in Hiltingbury. Unfortunately there was a misunderstanding and the Architect did not attend. It is hoped to rearrange the visit for a Friday night when some of the youth maybe able to attend.
Minutes
29. RESOLVED: To confirm the minutes of the meeting held on 11th May 2009.
New Forest Association of Local Councils
30. The current constitution at Appendix A was noted.
31. Following a discussion on the proposed changes to the constitution (Appendix B) the following was proposed:
RESOLVED: That the Clerk send the following amended proposal to NFALC.
Change that the term for the Chairman and Representative is reduced to 2 years and that the Chairman can only complete 2 terms in office.
Finance
32. RESOLVED:
a) To receive and approve accounts for January / February / March 2009 (Appendix C)
Receipts total: £7974.40
Payments total: £55712.06
b) To approve the accounts for the year ended 31st March 2009
(Appendix D).
c) To receive the Annual Return – Statement of Accounts and Annual Governance Statement for year ended 31st March 2009 (Appendix E).
d) To record that arrangements have been made for the external audit to be completed and the Audit Commission return to be done in the prescribed manner.
e) To record that exercise of Electors Rights re. The accounts will be advertised as required for 14 days from 22nd June 2009.
There being no further business the meeting closed at 2015.
